Introduction

Welcome to StudyMind. This privacy policy explains what information we collect, how we use it, and the choices you have. We believe in being straightforward about our data practices.

StudyMind is a study app that helps you turn recordings, images, and text into organized study materials like notes, flashcards, and quizzes. You can use the app in guest mode without creating an account.

Information We Collect

Account Information: If you create an account, we collect your email address and a securely hashed password. We never store plain-text passwords.

Audio Recordings: When you record audio or upload audio files, the audio is sent to our server for AI-powered transcription. The audio is processed temporarily and the resulting text is returned to your device. We do not permanently store your audio recordings after processing.

Images: When you capture photos of notes, textbooks, or whiteboards, or select images from your gallery, the images are sent to our server for text extraction (OCR). The images are processed temporarily and the extracted text is returned to your device. We do not permanently store your images after processing.

Text Input: When you paste text, upload text files, or type content directly, that text is sent to our server for AI processing to generate study materials. We do not permanently retain your text content after processing.

Study Content: The study materials generated by the app (notes, flashcards, quizzes, and course organization) are stored locally on your device and optionally synced to our server if you have an account.

App Preferences: Settings such as preferred language, notification preferences, and theme choice are stored locally on your device.

Device Permissions

StudyMind requests the following device permissions to provide its core features:

🎙️ Microphone

Used only when you actively start a recording in the app to capture lectures and voice notes. StudyMind never records audio in the background. You can revoke this permission in device settings at any time.

📷 Camera

Used to capture photos of whiteboards, textbook pages, and handwritten notes for OCR text extraction. Photos are only taken when you tap the camera button — we never take photos without your direct action.

🖼️ Photo Library / External Storage

Used to import existing photos of notes and textbook pages that you specifically select. We cannot browse your full photo library — access is limited to images you explicitly choose.

🔔 Notifications

Used to send optional study reminders and notify you when AI processing of your recordings is complete. Notifications are off by default and can be disabled at any time in Settings or in device settings.

Where Your Data Is Stored

On Your Device (Local Storage): The majority of your data lives on your device. This includes all study materials (notes, flashcards, quizzes), your course and topic organization, app settings and preferences, and notification schedules.

On Our Server (Temporary Processing Only): Audio, images, and text are sent to our server only when you use AI-powered features. This data is processed and the results are returned to your device. We do not permanently store your audio recordings, images, or text input on our servers after processing is complete.

Account Sync (if signed in): If you create an account, your study content is synced to our secure servers so you can access it across devices.

How We Use Your Information

We use your information solely to provide the app's core features:

Transcribe audio recordings into text
Extract text from images of notes and textbooks
Generate study notes, flashcards, and quizzes from your content
Summarize text content you provide
Authenticate you and sync your study content across devices (if you have an account)
Send optional study reminder notifications you enable

We do not use your data for advertising, profiling, or any purpose other than providing the features you use within the app.

Third-Party Services

StudyMind uses the following third-party services:

OpenAI: Audio, images, and text you submit for AI processing are sent to OpenAI's API for transcription, text extraction, and study material generation. OpenAI processes this data according to their privacy policy. OpenAI is prohibited from using your content to train their AI models under our API agreement.
Google Play: In-app purchases and subscriptions are processed by Google Play. Payment information is handled entirely by Google and is never collected or stored by StudyMind.

We do not sell, rent, or share your personal data with any other third parties.

Notifications

StudyMind can send study reminders as local notifications on your device. Notifications are entirely optional and are not enabled by default. You can enable, disable, or customize them at any time in the app's Settings. You can also disable notifications for StudyMind in your Android device settings under Apps → StudyMind → Notifications.

Data Deletion

You have full control over your data:

Clear All Data (Settings → DATA section): Deletes all study data stored on your device. This cannot be undone.
Delete My Data (Settings → Privacy & Data): Permanently deletes all your study content from both the server and your device. Your account remains active but empty. This cannot be undone.
Delete Account (Settings → DATA section): Permanently deletes your account and all associated data from both the server and your device, including study content and purchase history. This cannot be undone.

You can also request data deletion by contacting us at studymindv1@hotmail.com. We will complete the deletion within 30 days.

Your Rights and Controls

You have control over your data in the following ways:

Delete your data at any time using the options described above
Export your content as PDF or text files using the share feature on any study material screen
Manage notifications by enabling or disabling study reminders in Settings
Use guest mode without creating an account or providing personal information
Revoke permissions (microphone, camera, photos) at any time in Android device settings

California Residents — CCPA Rights

If you are a California resident, you have the following rights under the California Consumer Privacy Act (CCPA):

Right to Know: You can request information about what personal data we collect and how we use it.
Right to Delete: You can request deletion of personal information we have collected. See the Data Deletion section above.
Right to Opt Out of Sale: We do not sell your personal information to third parties.
Right to Non-Discrimination: We will not discriminate against you for exercising your CCPA rights.

To exercise your CCPA rights, contact us at studymindv1@hotmail.com. We respond within 45 days.

EU/EEA Users — GDPR Rights

If you are in the European Economic Area, you have the following rights under GDPR:

Right of Access: Request a copy of the personal data we hold about you.
Right to Rectification: Request correction of inaccurate data.
Right to Erasure: Request deletion of your personal data ("right to be forgotten").
Right to Data Portability: Request your data in a portable format.
Right to Object: Object to processing of your data.

Our legal basis for processing is contract performance (providing the service you signed up for). To exercise GDPR rights, email studymindv1@hotmail.com. We respond within 30 days.

Data Security

We take reasonable measures to protect your information. Data transmitted between the app and our server is encrypted in transit using HTTPS (TLS). Study content stored on your device is protected by your device's built-in security features (screen lock, encryption). We do not store your audio recordings, images, or text on our servers longer than necessary to complete processing.

Children's Privacy

StudyMind is intended for users aged 13 and older. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us with personal information, please contact us at studymindv1@hotmail.com and we will delete that information promptly.

Changes to This Policy

We may update this privacy policy from time to time. When we make changes, we will update the "Last Updated" date at the top of this page. For significant changes, we will notify you via the app or email.
